Financial Account Connections (QuickBooks Online)
When you choose to connect your QuickBooks Online account to our Profit First
Assessment service (“the Service”), the following terms apply in addition to the
rest of this Privacy Policy.
What we access
With your authorization — granted through Intuit’s secure OAuth sign-in process —
we access your QuickBooks Online accounting data on a **read-only** basis,
including your Profit & Loss, General Ledger, Balance Sheet, Statement of Cash
Flows, and Chart of Accounts. We request only the accounting access necessary to
produce your assessment. We do **not** request access to payments or payroll-write
capabilities, and we never modify, create, or delete anything in your QuickBooks
account.
How we use it
We use this data solely to generate your Profit First assessment and related
reports — calculating your Real Revenue, Owner’s Pay, Tax, Operating Expense, and
Profit allocations, and providing written analysis and recommendations. We do not
sell this data, and we do not use it for advertising.
How we store and protect it
– The connection token that allows us to retrieve your data (your “refresh token”)
is **encrypted at rest using AES-256-GCM** before it is stored. Short-lived
access tokens are never stored.
– All data is transmitted over encrypted connections (HTTPS/TLS).
– Access to stored data is limited to authorized personnel of Better Biz Info for
the purpose of operating the Service.
Service providers we share data with
To operate the Service, we share data with the following providers, who are
authorized to use it only to perform services for us:
– **Anthropic (AI analysis)** — we send your financial figures to Anthropic’s
Claude API to generate the written analysis in your report. Anthropic does not
use data submitted through its API to train its models.
– **Our hosting and database providers** — to run the Service and store your
assessment results.
– **Our email provider** — to deliver your report to you.
– **GoHighLevel (High Level)** — our customer-relationship system, which stores
your contact information (name and email).
We share data with these providers only as needed to operate the Service, and not
for any other purpose.
Data retention and deletion
We retain your connected financial data and assessment results for as long as your
relationship with us is active. You may **disconnect** the Service from your
QuickBooks account at any time — through your Intuit account settings or by
contacting us — and you may request deletion of your stored data. Upon
disconnection or a deletion request, we delete your stored connection token and
associated financial data within 30 days, except where retention is required
by law.
Your control
You authorize this connection voluntarily and can revoke it at any time.
Disconnecting stops all future access to your QuickBooks data. To disconnect or

Compliance with Intuit requirements
Our access to and use of QuickBooks Online data complies with Intuit’s API Terms
of Service and developer requirements, including the limited-use requirements
applicable to information received from Intuit APIs.
 

Changes to this Statement

Better Biz Info reserves the right to change this Privacy Policy from time to time. We will notify you about significant changes in the way we treat personal information by sending a notice to the primary email address specified in your account, by placing a prominent notice on our website, and/or by updating any privacy information. Your continued use of the website and/or Services available after such modifications will constitute your: (a) acknowledgment of the modified Privacy Policy; and (b) agreement to abide and be bound by that Policy.
